Add and Invite Project Team Members

In this article you will learn how to Add, Edit, Import and Manage your Contacts within the RForm software.  Once Contacts have been entered into RForm, later they can be given permissions and roles for any project in the future to make them part of Project Teams. 


Add Contact


  1. To view your Contacts page and Add a Contact go to your main RForm dashboard page and click Contacts tab top right of the page.

  2. Click the Add a New Contact button top right of the page. 

  3. Fill out the Contact details and click the Save button at the bottom.

Username
- Used only by the contact to sign into your RForm account.
Password
- The contact will be able to change the password upon their first sign in attempt.
Role

- Specify the role you want the Contact to have.  Either User, Administrator, Account Coordinator

Company Address (Optional)

Address-City-Province-Postal Code

Contact Information

Email (Required)
Work - Mobile Phone numbers
Fax

  1. Another way to Add a contact is via your RForm Dashboard page, by clicking on the Add Contacts button. 

  2. The Add Contact form will open however there will not be any additional options available to you like the main Contacts page. 


Import Contacts

If you have your contacts in a .CSV file they can be imported into RForm.  Most mail programs like Outlook and Gmail have options to export contacts in a CSV format.


  1. Click on the Contacts tab and then click on the Import Contacts button.

  2. Click the gray area to Browse your computer files or Drag or drop a CSV file into the gray area, then click the Continue to Step 2 button. 

  3. On Step 2 review the RForm fields and the CSV fields to ensure that the proper information is lined up with the respective RForm field.  Once complete click the Continue to Step 3 button.

  4. On Step 3 choose the contacts you want to import from the CSV file.

  5. Click the Import Selected Contacts to complete the process of importing.




Invite a Contact or Project Team Member

There is also an easy way to add new contacts or Project Team members directly to a specific project and have the new contact fill in their own information and username, password by sending an invitation email. 


  1. In your project click on the Project Team tab and then click Add on the contact card of the role or position you want to invite a new contact to. 

  2. The Add window opens and then click Send an Invite

  3. The Invite window opens and you can enter the email of the prospective contact and enter an optional message to be included in the invitation email. 

  4. Confirmation of the Invitation being sent.

  5. Invitation that the proposed contact receives with a join this project link.

  6. The proposed contact will click on the Join This Project link and will then be asked to enter their own information in a 3 step process, and provide their own username and password. 



Find a Contact


  1. To Find and Edit a Contact click on the Contacts tab top right, then click on the alphabet displayed for the user’s last name or use the Search field to conduct a search of the last name. 



Edit a Contact


  1. To edit a contact navigate to the Contacts page, find the contact in the list using the Find options. Click the Edit link, make your edits, then Save your changes.


Delete a Contact


  1. To Delete a contact navigate to the contacts page, find the contact in the list using the Find options. Click the Delete link. 

  2. Confirm the delete by clicking the Remove button.


Print Contacts


If you would like to print out your list of contacts in RForm.

  1. Navigate to the Contacts page, and click the Print This Page button then follow your computer’s instructions for activating your printer.


Remove Contact

Sometimes it is necessary to remove a contact entirely from the RForm contact list.  In order to completely remove the contact from the RForm account, the contact must first be removed from all projects. 

  1. To remove a contact from projects first, click the Edit the contact 

  2. Scroll to the end of the contact page.  A list of all projects the contact is currently associated with is listed. Click the Remove text link on the right to remove.

  3. Once the contact has been removed from all projects, you can click the Delete button on the contact card of the individual and they will be deleted.

  4. Confirm the delete.
