Edit - Reply Supplemental Instructions (SI)

In this article, you will learn how to Edit and Reply to a Supplemental Instruction (SI) form.  A SI is issued to provide direction to the contractor that will not result in a change to contract price or time. 

  1. Click the Supplemental Instructions tab under the Project Forms tab.

  2. Click the SI Form you want to edit.

  3. You will be directed to the SI Form page, click the Edit button.

  4. Edit any of the SI fields located in the form.

Field

Instructions

Title

Enter the SI title here.

Reference Number (Consultant)

Enter the Contractor’s reference number/info. If applicable

Reference Number (Contractor)

Enter the contract price.

Priority

Click the drop-down arrow to select the priority level

  • Normal

  • High

  • Low

Date Required By

Click the field to enable the Calendar and select the required deadline date for the SI.

Description

Enter a description in the field provided, note Tools available

Terms & Conditions

Default text provided but the text can be modified.


  1. After editing all SI Instruction details on the form, click the Save button.

  2. The default terms and conditions for Certificates for Payment are set on the "Edit Project Details" page. (Add link to the “Edit Project Details Section”

Reply to a Supplemental Instruction (SI)

In this section, you will learn how to reply to a Supplemental Instruction (SI) that was issued to you.  An SI is issued to provide direction to the contractor that will not result in a change to contract price or time.  Usually, a Contractor would reply to an SI issued by the Primary Consultant. 

  1. Click the Supplemental Instructions tab and click on the SI issued to you that you want to Reply to.

  2. Click on the SI issued to you that you want to reply.

  3. Click the Reply button.


  4. A pop-up window will appear with multiple options.  
    1. Notify others on the team (Optional) section, and select the Checkbox(es) of the contacts that you would like to be notified.  In the 
    2. Include a comment with your notification (Optional) section, and enter a brief recommendation note/comment.
    3. Browse your computer for files (Optional) you wish to attach to this Reply.

  5. Your reply will be saved, and comments or files uploaded to the SI. 

  6. It’s important to note the RForm maintains an audit trail of all interactions that are made on the SI form and all other forms. 

  7. There is also a feature to Add Comment or File directly onto the form.  Click the Add CommentsFile text link on the SI form.

  8. The comment window for the SI opens and you can 

    1. Notify others on the team (optional) 

    2. Include a comment with your notification (optional)

    3. Attach a file (optional) and include attachments in the notification.

  1. The SI form is then updated with the comments and file if any provided.
