Create Edit Issue Copy Site Report Project

In this article you will learn how to create, copy, issue and edit Site Reports

Create Site Report

  1. Navigate to the project you want to complete a Site Report for by clicking on the project.
  2. Then click the Site Reports tab.
  3. Click on the New Site Report button.
  4. If it is your first Site Report the site report form and fields will open.  
  5. If this is not your first Site Report you will be given the option to copy the last report. For more details on copying the last report see the lower section of this help page. 
  6. Select No to create a new Site Report.
  7. The Site Report form will open and each form section can be filled out.  The data in the report form is as follows:

Report By

Choose a Prime Consultant

Individual Present

  • Select the individuals present for this site report
  • Enter any others not in RForm contacts

Terms of Reference

Terms are set in the Project Details page

Plans

  • Add site plans
  • 50MB file size limit
  • No special characters in file names

Site Issues

  • Issue #
  • Location
  • Description
  • Action by
  • Noted
  • Status

Report Details

Editable headings

Defaults are as follows:

  • Observations
  • Items to Verify
  • Information-Action Required

Site Photos

  • Upload site photos right from your phone or computer
  • 50MB file size limit
  • No special characters in file names

  4. Terms of Reference Section editable from the Project Details area.
  5. Plans Section - Browse, drag and drop site plan files required.
  6. Plans can be uploaded if they are less than 50MB in file size and the file name doesn’t have any special characters. 
  7. Annotations and Notes can be added to the plans after uploading the plan.
  8. Click the Add Annotation to display the options available for annotating the plans in the Edit Image window pop up.
  9. Site Issues - Add, Edit, Save Site Issues in this section click Add to enter details. Can be carried forward .Should show options for status.
    Additional options available in Site Issues section. Status can be set to Open,In Progress, Not Required, Completed, and On Hold.
  10. Report Details Section - Use the default sections provided or edit each title to your own preference. Also add Custom sections by clicking the Add Report Item button at the bottom.
  11. Site Photos Section - Add your photos from your phone or computer from your site visit.
  12. Click Save as draft button to continue updating your report or click Save and make public if completed and ready to share.
  13. After uploading photos the option to Add Annotation and Comments will be provided.
  14. Click the Add Annotation to display the options available for annotating the photos in the Edit Image window pop up.
  15. After the Site Report is completed you can then Issue it to your team.
  16. Issue Site Report window opens.  Select Notify others on the team (optional) and Include any comments with your notification (optional), then click the Issue button.

Edit Site Report

  1. Click the Edit button to open all the Site Report details that you can edit.
  2. Site Report Form is opened for editing. Click the Save button at the bottom of the page to update the Site Report with your edits.

Copying the Last Site Report

Once you have created a site report, the next time you go to create a Site Report you will have the option to Copy the last Site Report to help save time and use some of the data from the last Site Report.

  1. In the New Site Report pop up window specify if you want to create a copy of the last site report or not.
  2. If you select Copy the window will expand and you can select which items you want to copy over to a new site report with the check boxes.
  3. Click the Create button to create a copy of the last report and begin.
  4. The Site Report form opens with the data copied from the previous Site Report and it can be edited and then issued, etc. as required.
  5. Clicking the Edit button will provide access to all the forms.

  6. Click Save at the bottom to update the form.
