In this article, you will learn how to add a Schedule of Values (SOV) and create line items for your new project. When creating a new project, the SOV is empty. To add an SOV and create a line item or to Import a SOV follow the instructions below.
Add New SOV
Go to the Project where you want to create the new Schedule of Values form.
Click the Project Forms tab to access the Forms tab and click the SCHEDULE OF VALUES tab.
You will be directed to the SCHEDULE OF VALUES tab. Click the NEW SCHEDULE button.
The New Schedule dialog box will appear. If this schedule uses unit pricing, click the Yes radio button. Otherwise, click the No radio button
In this example, we selected Unite Pricing. After selecting the preferred option, click the Create button.
Select the unit price or lump sum option on the Schedule of Values (SOV) depending on the type of contract being used. Remember, unit pricing offers flexibility for changing quantities, while lump sum provides a fixed price for a defined scope.
By default, the Schedule of Values is locked, to update the schedule of values, click the UNLOCK link. The Prime Consultant is the only role that can Lock or Unlock the SOV to prevent changes.
In this example, we will use the existing category; Foundations. In this category, let's add a schedule of value and click the + Add New Line link twice to add two lines one for Rebar and one for Footings under the category of Foundations.
The line item fields will appear, specify the line item information (required).
After specifying the SOV line item. You can continue to add SOV line items as necessary. Upon completion, click the LOCK link to save and lock the SOV. The values entered are automatically saved once the form is locked
Importing the Schedule of Values (SOV)
If the SOV can be made available in a CSV (comma separated values) file it can be imported to the Project SOV. Most spreadsheet software have the ability to export CSV files so that this feature can be used. Follow these steps to import a SOV using a CSV file.
Navigate to the SOV page and Unlock your SOV to reveal the Import SOV button. Click the Import SOV button.
The Import process is then displayed.
Click the large dark space and select a file from your computer to open or drag and drop the file to the dark space.
Below the dark space select whether your CSV file starts with a header row or not with a check in the box or not. Then the Continue to Step 2 button should turn green and then click the Continue button.
Step 2 is where you will now Adjust Data Mapping of your CSV file with the RForm SOV fields. This may take some manipulation of your CSV file and this data mapping feature.
Click on each field drop down to select and match up the appropriate data with each field. Example data will be provided in the far right column as selections are made. Once the data has been lined up click the Continue to Step 3 button.
Step 3 Choose the items to Import individually or click the top box to select all items in the CSV then click the Import Selected button at the bottom of the list.
The CSV is then populated into the SOV.
Edit & Add Line Items to Schedule of Values (SOV)
To edit the SOV click the UNLOCK text link to open the editing functions.
You can edit existing ID#, Work Descriptions, Contract Price and Cash Allow status fields.
Clicking the Add New Line will open a set of blank fields to add new details to.
New set of blank fields for a line item in the SOV. There is no limit to the number of line items.
Add Category
You can create additional Categories or folders for the SOV.
First UNLOCK the SOV.
Click the +Add Category text link.
Enter a Category name and click the check mark to save the Category.
The new Category will appear and the option Add New line items to the Category will appear. Click the trash icon to delete any undesired Categories created.
You can also click on a category or a line item and drag it to a new location to change the order of the category or the items on the SOV.
