Create CP

A CP is to certify the value of the work performed and/or products delivered to the place of work as of a certain date.  The Certificate for Payment (CP) acts as a crucial verification tool in construction projects, ensuring the accuracy of contractor invoices. It tracks key financial metrics, including the total contract value, project progress, previous and current claims, and the remaining balance. Additionally, the RForm CP incorporates sections for approved Change Orders, Change Directives, and Cash Allowances, providing a comprehensive overview of project costs.

  • You cannot create a new Certificate for Payment until your last one has been certified or removed. 

  • A CP can only be generated by the Primary Consultant (or RForm Account Manager).  

  • Once generated a CP must be issued for review before it can be certified. 

  1. Go to the Project where you want to create the Certificate for Payment.

  2. Click the Project Forms tab and select CERTIFICATE FOR PAYMENTS

  3. Click on the New Certificate of Payment button.

  4. Fill out the fields on the Certificate of Payment form.

  1. Upon completion of fields click the Save button to create and save the information entered.

  2. After saving you will be directed to the Draft Certificate for Payment page with the certificate in Default status and now you are ready to Issue the certificate to your team. 

Issue Certificate of Payment (CP)

  1. Once you have created your certificate you must Issue it to your team members. Click the Issue button.

  2. Fill out the fields in the Issue Certificate of Payment window.   Who you are issuing the Certificate to is a required field while notifying others on the team and entering comments are optional.  

  3. Click the Issue button to issue the certificate to your team.

Status

Instructions

CERTIFIED

  • For certificates that are already certified, click the Reopen button. 

  • Please note that a certificate can only be opened if it is the last one certified. 

  • After reopening the certificate, additional options will be enabled.

DRAFT & ISSUED

  • For certificates that are in Draft or Issued status, click the Edit button to proceed.

  • After updating the issued certificate, ensure to save it to apply the changes.   

  • Clicking the Certify button will certify and close the certificate allowing for a new one to be created.













Edit a Certificate of Payment (CP)


In this section you will learn how to edit a CP. You can edit a CP if it is a Draft or Issued status. If it is already certified it will need to be reopened in order to edit it. 

  1. Click the Project Forms tab and select CERTIFICATE FOR PAYMENTS

  2. In the Certificates for Payment list, click on the certificate you want to edit.

  3. Click the Edit button to access CP forms.

  1. Edit your fields directly on the form. 

  2. Click the save button at the bottom of the CP form to preserve your edits. 

  3. Please note that the tax rate entered is remembered and carried forward to new CPs.

  4. The Schedule of Values section on the CP displays the:

    1. Total Contract Price, Project Progress To Date, Previous and Current Claims and the remaining balance to complete.

  1. On the CP to adjust the claim amount, select a calculation type from the pull-down menu (% Percent or $ Amount) and then enter your percent to date or dollar amount to date.  Select the check box on the left to add the full value of the line item (100%)

  1. The Cash Allowance Authorizations section of the Cp displays the following editable areas:

    1. On the CP to adjust the allowance amount, select a calculation type from the pull-down menu (% Percent or $ Amount) and then enter your percent to date or dollar amount to date.  Select the check box on the left to add the full value of the line item (100%)

    2. Click the Eye icon on the far right to either Hide or Show a cash allowance.

  2. Change Orders and Change Directives sections are also displayed on the CP.  These automatically update as the Cash Allowances, COs and CDs are approved.

    1. On the CP to adjust the allowance amount, select a calculation type from the pull-down menu (% Percent or $ Amount) and then enter your percent to date or dollar amount to date.  

    2. Select the check box on the left to add the full value of the line item (100%)

  3. As updates are made to these sections the overall contract values are adjusted automatically.

  4. Each time a CP is created the defaults for the line items will display until edited.

  5. After saving and viewing the CP form a full list of Certificates For Payments to Date is always displayed at the bottom of the CP form.
