Add - Issue - Edit - Delete Request for Information (RFI)

 In this article you will learn how to Add, Issue, Edit and Reply to a Request for Information (RFI)I.  In construction, a RFI is a formal document used to seek clarification or additional details about project plans, specifications, or any aspect that might be unclear or missing from the original contract documents.

RFI’s are generally issued by the Contractor to the Primary Consultant or Consultants on the project team.  The Primary Consultant can reply to the RFI and normally the Contractor will close the RFI.  The Primary Consultant and RForm Account Managers may also close an RFI if needed.

  1. To Add RFI, go to the Project where you want to add a Request for Information.

  2. Click the Project Forms tab and then click the Request for Information tab. 

  3. Click the New RFI Form button.

  4. Fill out the following information on the RFI form:


Field

Instructions

Title

Enter the SI title here.

Reference Number (Consultant)

Enter the Contractor’s reference number/info. If applicable

Reference Number (Contractor)

Enter the contract price.

Priority

Click the drop-down arrow to select the priority level

  • Normal - High - Low

Date Required By

Click the field to enable the Calendar and select the required deadline date for the SI.

Description

Enter a description in the field provided, note Tools available

Attachments

Attach any drawings or files required. 
Note that file size must be less than 50MB. 

Terms & Conditions

Default text provided but the text can be modified.
The default terms and conditions for Certificates for Payment are set on the "Edit Project Details" page. (Add link to the “Edit Project Details Section”

  1. Click the Save button to complete and save the RFI

  2. Once you have created your RFI don’t forget to issue it to your team so they can comment and reply to it. 


Issue Request for Information (RFI)

In this section you will learn how to Issue a Request for Information (RFI). Once an RFI has been created/added it needs to be Issued.   RFI’s are generally issued by the Contractor to the Primary Consultant and others can also be selected.  

  1. Go to the Project where you want to Issue a RFI.

  2. Go to the Project Forms tab and click on the Request for Information tab. 

  3. Click on the RFI you want to Issue from the list or create a new RFI to Issue.

  4. Click the Issue button on the RFI page.

    1. In the Issue window Notify Others on the team (Optional) section, select the checkbox(es) of the contacts that you would like to notify. 

    2. In the Comment field (Optional), enter a brief note/issuance comment. 

    3. Click the Save button to Issue the SI. 



  1. Saving will Issue the RFI and send a notification to anyone selected from the pop up. 

Edit Request for Information (RFI)

In this section you will learn how to Edit a RFI. You can Edit a RFI from several statuses. 

  1. Go to the Project Forms tab and click on the Request for Information tab. 

  2. Click on the RFI you want to Edit. 

  3. Click on the Edit button.

  4. Edit any of the fields in the RFI.

  5. Click Save button to save the information that was modified. 


Delete Request for Information (RFI)

In this section you will learn how to Delete a RFI 

  1. Go to the Project Forms tab and click on the Request for Information tab. 

  2. Click on the RFI you want to Delete. 

  3. Click on the Delete button. 

  4. Confirm the Delete. This RFI was still in Draft status so the Delete process is a single step.  Clicking the Delete button will permanently delete the Draft RFI.

  5. If the RFI is in another status such as Issued status, the RFI must first be Removed before it can be Deleted permanently.

  6. To Remove and Delete an Issued RFI select the RFI from the list of RFI’s and then click the Remove button.

  7. In the Confirm Remove window Notify others on the team (Optional) and enter your comments in the field provided. Click the Remove button to complete.

  8. The status of the RFI is then updated to Removed on the RFI and the list of RFI’s. 

  9.  To delete the RFI permanently click the ‘Click Here’ text link to Delete.

  10. Confirm Delete by clicking the Delete button.
